Terms of Service

These Terms of Service ("Terms") govern your use of RepFlow AI ("Service"), operated by RepFlow AI ("we", "us"). By using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. Description of Service

RepFlow AI is a WhatsApp-based sales automation platform for pharmaceutical sales teams. The Service enables sales representatives to log customer orders, assign distributors, record deliveries, and query product pricing via WhatsApp messages processed through the WhatsApp Business API.

2. Eligibility

You must be at least 18 years old and authorised to act on behalf of your organisation to use this Service. By registering, you represent that you meet these requirements.

3. Acceptable Use

You agree to use RepFlow AI only for legitimate business purposes. You must not:

• Use the Service to send spam, unsolicited messages, or bulk promotional content.
• Attempt to reverse-engineer, copy, or resell the Service without written permission.
• Input false, misleading, or fraudulent order or customer information.
• Use the Service in a way that violates WhatsApp's Terms of Service or Meta's usage policies.
• Attempt to access data belonging to other organisations or users.
• Use the Service for any unlawful purpose.

4. Account Responsibilities

You are responsible for:

• Maintaining the security of your WhatsApp account and credentials.
• All activity conducted through your account.
• Ensuring your organisation's reps comply with these Terms.
• Promptly notifying us of any unauthorised use at hello@repflowaai.com.

5. Accuracy of Information

RepFlow AI uses AI and fuzzy-matching to interpret product names and customer names. Whilst we strive for accuracy, you are responsible for reviewing order confirmations before acting on them. RepFlow AI is not liable for errors arising from ambiguous, misspelled, or incomplete inputs.

6. Availability and Uptime

We aim to keep the Service available at all times but do not guarantee uninterrupted availability. The Service may be unavailable due to scheduled maintenance, third-party platform outages (WhatsApp, Twilio, Supabase), or circumstances beyond our control. We will notify users of planned maintenance where possible.

7. Intellectual Property

All software, design, branding, and content associated with RepFlow AI are the intellectual property of RepFlow AI. Your data (orders, customer records, product aliases) remains your property. You grant us a limited licence to process your data solely to provide the Service.

8. Data and Privacy

Our collection and use of your data is governed by our Privacy Policy, which is incorporated into these Terms by reference.

9. Fees and Billing

Paid plans are billed monthly or annually as selected at sign-up. Fees are non-refundable except as required by law. We reserve the right to change pricing with 30 days' notice. If you do not agree to a price change, you may cancel before the change takes effect.

10. Termination

We may suspend or terminate your access at any time if you breach these Terms, misuse the Service, or for any other reason with reasonable notice. You may cancel your account at any time by contacting hello@repflowaai.com. Upon termination, your data will be retained for 30 days and then deleted.

11. Limitation of Liability

To the maximum extent permitted by law, RepFlow AI is not liable for:

• Loss of revenue, profits, or business opportunities arising from use or unavailability of the Service.
• Errors in order processing caused by user input or third-party platform issues.
• Any indirect, incidental, or consequential damages.

Our total liability to you shall not exceed the amount you paid for the Service in the 3 months preceding the claim.

12. Disclaimer of Warranties

The Service is provided "as is" without warranties of any kind, express or implied, including but not limited to merchantability, fitness for a particular purpose, or non-infringement.

13. Third-Party Services

RepFlow AI integrates with WhatsApp (Meta), Twilio, Supabase, and other third-party services. Your use of those services is subject to their respective terms and policies. We are not responsible for the actions, availability, or content of third-party services.

14. Modifications to Terms

We may update these Terms from time to time. We will notify users of material changes with at least 14 days' notice. Continued use of the Service after that period constitutes acceptance of the updated Terms.

15. Governing Law

These Terms are governed by the laws of Ghana. Any disputes shall be resolved in the courts of Ghana, unless otherwise agreed in writing.
